coordinator of Market Access department with project functions
Major activities and responsibilities:
• full administrative support of expatriate- director of market access department (as personal assistant): consecutive translations of business meetings, translations of presentations, meeting scheduling, full support of business trips
• assisting in department events organization(25ppl), agenda preparation, travel arrangements, minutes production, cross-functional work with agencies, compiling of travel- and meeting-related documents, participation in the meetings.
• full administrative support of the department (coordinating all business trips, visa, time-sheeting, consulting on procedures and politics, registration in local and international congresses),
• proper support and participation in Health and Value projects implementation
• Handle required external communication precisely and in appropriate way.
• Be a point-of-contact for regional peers, set inquiries respectively (arrangement of all executive visits, logistic, meeting venue, providing with prepared agenda, welcoming and accompanying, visa support, VIP meeting organisation)
• close and effective cooperation with related departments for paper approval, invoices tracking, control of payment, supplies maintenance (orders, purchases, office stationary, IT equipment)
• close cooperation with finance and procurement departments.
• documentation maintenance (preparing contracts, different documents, control of all required approvals, signing of documents in time, support in preparation of official letters to Ministries of health, Healthcare departments and products' dossiers, purchasing request rising, control of payment and compiling of closing documents)
• full administrative support of conference and training arrangement for colleagues
Main Results:
• Development of promo material as a market access educational tool for field force employees of business units. Analysis and checking data based on official publications of MoH and state bodies, laws and government decrees, collecting most significant information, working with design agency , printing and dispensing among the regional colleagues.
• Working with Cursor database to analyze allocation of state budget for provision with tuberculin skin test and prepare data with required information. Implementation of a new tool to FF
• Participation in the project "Business-donation of products to hospitals". Preparation of all project-related documents in accordance with the company procedures and Russian legislation, building a strong communication with initiator, with colleagues from accountant and finance departments for getting required approvals, close working with warehouse in terms of proper shipment, product delivering to hospital, compiling of confirmed documents from hospitals to complete the case, compiling of all required documents for audit.
• Executive visit arrangements in Ministry of Health and GUP Tattechmedfarm in Kazan and Healthcare Department, Medical City and Hospital in Tyumen - participation in all meeting and negotiating with authorities as an interpreter of global peers, all travel arrangement in regions, coordination and full control of all preparations in time (meeting with Deputy Minister, Head of Departments and GUPs).
